How To - Account Closure and Backing Up

On this page you will find instructions on how to backup your SSE Riga Google account data and/or transfer your data to your private accounts.
For all intents and purposes your SSE Riga account acts just like a standard Google account. Any other guides and information found on the Internet that specifically mention Google accounts should be applicable for your SSE Riga account as well.

    Account closure procedure

If you have graduated from SSE Riga, your SSE Riga student account will be closed in August of the same year and deleted in October of the same year.
If you have otherwise finished your studies at SSE Riga, your SSE Riga student account will be closed and deleted in the following October.

No data recovery is possible after account deletion. therefore you are advised to make sure before the account is closed that there is no important information left behind in your SSE Riga account. If you believe your SSE Riga account is essential for you after your studies, you may ask about the postponement of the account closure. This can be done by writing an e-mail to

If your SSE Riga account is scheduled for closure: Full backup/transfer of all e-mails and Drive documents can take up to several days so please start this process well in advance! All Drive documents not transferred will become unavailable to you and your collaborators after your account is closed so make sure their ownership is transferred to your personal account or to any other relevant person.

    Backing up Google Account Data - Google Takeout Service

Google Takeout service allows you to create an offline backup of all your Google account services. It will create an archive of all your data from various Google Services (Calendar, Keep, Google Photos) and will let you download it in ZIP format. This data can then be used for importing into other accounts or platforms.

Please note that if you only wish to transfer your e-mails, Drive documents or contact information to your personal account, you should refer to the specific sections linked at the top of this page.

To backup data, Sign in to your Google account and click on your Account Picture. From the Pop up, click on “My Account”.

In My Account, click on “Control your content” located under the heading “Personal info and privacy”.

Here, you will see the option of “Download your data” with a “Create Archive” button below it, click on this button.

On the next page, you will see all the services Google Account has to offer with a check mark next to it in green. This means if you will create archive now, all your data in the “checked” Google services will be downloaded.

You can un-check services that you don't need backed up and only leave the most important services checked (Contacts, Drive and Mail being the most important). Also next to each individual service you have selected, you can click the Down Arrow to select in more detail what will be downloaded (specific Drive folders, Mail labels etc.).

Click on “Next” located at the top and you will be directed to change “File type” and “Delivery method”. If you don’t have anything special in mind, don’t change anything and just click on “Create archive” at the end.

Your archive will start preparing. It may take some time to create your archive depending on how much data you are backing up. For an average user backing up a few years of e-mails and Google Drive documents it could take several hours.

The backed up data will be in the format you specified earlier. Extract the file and separate folders will be created for each service you chose to back up. For Mail you will see MBOX file inside, which contains all your emails. You can use Thunderbird to import your MBOX backup back into another Gmail account or use software such as Mbox Viewer to simply view the contents on your computer.

    Transfer SSE Riga account information to your private account - E-mails

Use this option if you want to bring all of your SSE Riga account e-mails into your private Gmail account. Gmail will first import your old messages and then continue to bring in new messages sent to your SSE Riga account.

    First, change your settings in your SSE Riga account:

  1. Login to your SSE Riga e-mail account.
  2. At the top right, click the Gear icon.
  3. Select Settings.
  4. Select the Forwarding and POP/IMAP tab.
  5. In the POP Download section, select Enable POP for all mail.
  6. In the drop-down menu next to 2. When messages are accessed with POP choose what to do with messages in this account, such as keep Gmail’s copy in the inbox (recommended).
  7. At the bottom of the page, click Save Changes.
    Then, change your settings in your personal Gmail account:
  1. Login to your personal Gmail account.
  2. At the top right, click the Gear icon.
  3. Select Settings.
  4. Select the Accounts tab.
  5. In the Check mail from other accounts (using POP3) section, click Add a POP3 mail account you own.
  6. Enter the full email address of the other account, then click Next Step.
  7. Enter your password. If you use 2-Step Verification, you’ll need to enter a new app password.
  8. Now you have a few options to choose from:
    1. Leave a copy of retrieved messages on the server - Leave unchecked.
    2. Always use a secure connection (SSL) when retrieving mail - Keep checked.
    3. Label incoming messages - Check the box if you’d like to easily see which emails in your inbox came from this account.
    4. Archive incoming messages - Leave unchecked. Only check if you don’t want to see new messages from the other account in your inbox.
  9. Click Add Account.
    Note: If you are asked for a POP server name, specify "".
  10. Once your account has been added, you'll be asked if you want to be able to send mail as this address. This lets you compose messages in Gmail, but have them appear to be sent from your other email account.
  11. Gmail will check your other account for new emails periodically. You can see when the other account was last checked from the Accounts tab.

    Transfer SSE Riga account information to your private account - Contacts

Use this option if you want to back up all of your SSE Riga contacts or import their contact information into your personal account.
  1. Login to your SSE Riga e-mail account.
  2. At the top left, click Mail and click Contacts.

  3. Above the contacts list, click More - Export... .
  4. Choose whether to export all contacts or only one group.
  5. Select the format in which you'd like to export your contacts' information. Note that some of these formats can lose some contact information.
    1. To transfer contacts between Google Accounts, use the Google CSV format. This is the recommended way to backup your Google Contacts.
    2. To transfer contacts to Outlook, Yahoo! Mail, Hotmail, or various other apps, use the Outlook CSV format.
    3. To transfer contacts to Apple Address Book, use the vCard format.
  6. Click Export.
  7. Choose Save to Disk and click OK.
  8. Select a location to save your file, and click OK.
Afterwards you can use this exported file to import contacts into your private Gmail account.
  1. Login to your personal Gmail account.
  2. At the top left, click Mail and click Contacts.
  3. Above the contacts list, click More - Import....
  4. Click Choose File.
  5. Select the file you'd like to upload.
  6. Click Import.
  7. When importing is done, Gmail will display the number of contacts imported.

    Transfer SSE Riga account information to your private account - Drive documents

Use this option if you want to access your SSE Riga Google Drive documents from your personal Drive or if you want to transfer ownership of your files to another SSE Riga account so that the files can still be accessed after your SSE Riga account is closed.

Note: Once your account becomes inactive, all files you own will become unavailable, including files you have shared with others. To avoid losing access to files, either make sure you download a private copy of your Google Drive files or make another SSE Riga account the owner of the appropriate files and folders (Steps 6 or 7).
  1. Login to your SSE Riga e-mail account.
  2. At the top right, click the Google apps icon and select Drive.

  3. Select a file or a folder.
  4. With the folder selected, at the top, click Share icon or right-click and click Share... .
  5. At the bottom right of the Share with others window, click Advanced.
  6. To share files or folders with your private account:
    1. Write in the e-mail of your personal account in the Invite people: box and click SendThis will grant your account Can Edit access.
      Note: You cannot make a non-SSE Riga account the owner of your files. If you wish to keep a copy of your files, after sharing them, either make a copy of the shared folder (if using desktop application) or download the folder as a ZIP file (if using web interface).
  7. To make another SSE Riga account the owner of your files or folders
    1. Write in the e-mail of the SSE Riga account in the Invite people: box and click Send
    2. Next to the name of SSE Riga account, click Can Edit.
    3. From the list, select Is owner.
  8. Click Save changes.
  9. Repeat for each file or folder you wish to transfer to your private account.
